Melanoma Institute Australia (MIA) pioneers advances in melanoma research and treatment that are making a difference to the lives of patients today. MIA is a non-profit organisation dedicated to preventing and curing melanoma through innovative, world-class research, treatment and education programs. MIA is a national affiliated network of melanoma researchers and clinicians based in Sydney at the Poche Centre – the world’s largest melanoma research and treatment facility. It’s from here that our specialists pioneer new research, conduct clinical trials, develop new treatments and promote awareness of melanoma and where our clinics treat 2,000 melanoma patients each year.

About the Role:

We are seeking an experienced Executive Assistant to the CEO to provide high-level, trusted support to the Chief Executive Officer.

This is a hands-on role suited to someone who is confident managing complex priorities, exercising sound judgement, and operating with discretion. A significant part of the role is owning the CEO’s inbox and calendar, ensuring correspondence, meetings and commitments are managed efficiently and thoughtfully.

Working closely with the CEO and senior leaders, you will help keep matters on track, anticipate needs, and provide consistent, reliable support in a fast-paced environment. This is a part-time, 12-month fixed-term role.

Key Responsibilities: 

  • Provide executive support to the CEO, including diary management, meeting coordination, travel arrangements and briefing materials
  • Act as the primary point of contact for the CEO’s office, handling matters with professionalism and discretion
  • Take ownership of the CEO’s inbox, triaging correspondence, flagging urgent issues and responding where appropriate
  • Manage the CEO’s calendar, balancing strategic priorities with operational requirements
  • Coordinate meetings across multiple time zones and with a wide range of internal and external stakeholders
  • Support Executive and Board meetings, including agendas, papers, minutes and follow-up actions
  • Track actions, deadlines and commitments to ensure timely follow-through
  • Assist with projects, initiatives and events as required

About You: 

  • Demonstrated experience supporting a CEO or senior executive in an Executive Assistant role
  • Strong capability managing complex inboxes and calendars
  • Excellent organisational skills with strong attention to detail
  • High level of discretion and sound judgement
  • Clear written and verbal communication skills
  • Confidence engaging with senior leaders, Board members and external stakeholders
  • Proficiency in Microsoft Office and contemporary digital tools
